1. Start Here: Onboarding
Before setting anything up we need to know your username and your email. Username is the name that you will use on the website. Your email however will not be shown to anyone. Please use gmail as you will most probably want to use Google Calendar.
First, we will add you to our Test site before adding to our Live site.

The test site has the address www.test.onlinetalk.online and can be used to play around with without affecting the live site www.onlinetalk.online. We just wanna make sure everything is OK before we go live with your new Profile. So keep in mind, that all the instructions 1-XX below are for our test site www.test.onlinetalk.online. Make sure you are satisfied with your profile and settings in the test site before doing the exact process in the Live site.
In the Test site, you can actually test processing payments, that is, making test appointments. You can not do that in the Live site.
Information we need to know about you: username, email, your video call link, languages you give coaching in, specialization (topics you coach in), bank account number and bank information.
Please follow these instructions 1-XX to set up your profile in our test site www.test.onlinetalk.online:
2. Getting Started On Our Test Site
2.1 Log In and Set Password
1. We need to know your username and email. Once we know your username and email, we can start adding you to our site. You will receive an email from us with your login details. Check your email in your spam folder . For this example, we show how this process looks like if your name would be Anna.
2. Click on the first link in the email to set your password. You should be taken to a page looking like below. Set and save your password. Click on Log in and then log in. You can always later change your password in Users > Profile. You can also always log in using the usual log in link (here for Test site):

4. After you have logged in, go to Pages > Add New Page.
4. Use your username as the page title. In the example below, page title is Anna. Make sure you are in the Text tab for the editor, and paste the following html code:

4. Please remember, you will have to replace the X in [product_page id="X"] with your actual product id. You can not get a product id before you have created a product, which is step number XX-YY in this guide.
4. There is a menu on the left side hand of the page, where you disable the Page Title

4. You can always modify your page by going to Go to Pages and then select your page.
Title is you username, which is the same as your product name. In this case Anna.
You can now watch your page at

You can also click on the direct permalink under the Page title from your page editor.
Disable Title
You are at Text and not Visual. Pase Below code:
Replace the X in [roduct_page id=”X”] with your product id.
Publish
You can modify your content till you are happpy about it.
6. Provide info what to display on you page www.test.onlinetalk.online/username
We need something under “About You”, that is who you are, where you live, what hobbies you have etc. We need some photos of you, your specialities (for example Anxiety, Self-esteem, Trauma), which languages you speak (for example Swedish, English). It is OK to send us a draft, and then modify it when needed. We can at any instance change this information about you, just let us know.

2.3 Your Product
2.3.1 Create Your Product
4. Let say that you want your sessions to be 40 minutes long (Duration). After every meeting, you need 20 minutes to take notes and prepare for the next meeting (Padding Time). A client can not schedule a meeting with you if the time for the meeting would occur shorter than 1 Day (24 hours) (Lead Time). You do now want anyone to schedule a meeting with you further in advance with you that 3 months ahead (Scheduling Window). Customer can not cancel if the appointmnet is less than 1 Day (24 hour) before the start date. Zoom has a free plan if the meeting is maximum 40 minutes.

4. You have now logged in into WordPress Admin Dashboard. To Create your product, navigate to Products > Add New.

Scroll down on your product page till you come to the Product data section for the product.
What you have to do is: A) Set Product data to Appointable product. B) Check the Virtual box. Make following changes in the Genaral tab as market in yellow in the picture below: C) Put in the price you want to charge into Regular price (USD $). D) Requires confirmation? is optional if you want. It means that you have to confirm every order before the appointment is confirmed and the customer pays after that. The order status will be Pending – Appointment waiting for confirmation.
E) Check Can be cancelled?. F) Check Customer timezone? (very important!).
8. Make following changes in the Staff tab: A) Set Selection to Automatically assigned. B) Select your username under Staff and click on Assign Staff. You want to assign this product that you are creating to you.
9. Make following change in the Availability tab: A) Check box Auto-select?.
10. To save your product and all the changes you have done, go to the top of the page and click on Publish/Update button that will be to the right.

After publishing your product, locate the Product ID by checking the URL in your browser’s address bar. The Product ID is the number that appears after post= in the URL.
For example: https://www.test.onlinetalk.online/wp-admin/post.php?post=611&action=edit
In this example, the Product ID is 611. You will use this Product ID in point XX below, where you will replace [product_page id="X"] with [product_page id="611"].
2.3.3 Set Up Time Slots
2.3.3.1 How Time Slots Work
When a potential client visits your page (e.g., www.onlinetalk.online/username), they will see your availability in their own local time. If, for any reason, the automatic time detection doesn’t work correctly, clients have the option to manually adjust the time zone. This ensures they view your availability in their local time, so from the client’s perspective, your availability will appear as intended.
However, you will need to set your availability based on UTC+0. For instance, if you are in Berlin and wish to be available at 21:00 (your local time), you should set your availability to 20:00 in the WordPress Admin Dashboard. To test this, you can enter a time in the WordPress Admin Dashboard and verify that it matches your intended schedule in various time zones. For example, if you enter 20:00, it should show as 21:00 in Berlin. You can also switch to New York’s time zone to confirm that clients there would see it as 15:00.

2.3.3.2 Example of Setting Up Time Slots
To see what time your setting are at your local time, go to your page and select your city, then you will know what times are yielded. Times in settings matches the calendar only when you have selected UTC or a place that has currently UTC, like Reykjavik for example, that has always UTC+0 year-round4. Let’s assume you want to work Monday-Friday 08:00-16:00, but nothing on the Saturday or Sunday. Then your Availability in your Product would look like the picture below.Note that Available = No for Saturday and Sunday.
4. Let’s assume you only want to work on Wednesdays 09:00-12:00, Saturdays 08:00-14:00 and Sundays 20:00-22:00. Then your Availability in your Product would look like the picture below.Note that Available = No for Saturday and Sunday.

If you work according to the picture above, that is, Wednesdays 09:00-12:00, Saturdays 08:00-14:00 and Sundays 20:00-22:00, but you want to cancel some of you availiability, you can do as this: Go to your profile Users > Profile and scroll down to the bottom of your Profile Page. Add the following rules to your Custom Availability. Your Saturday the 2024-11-09, and your Sunday 2024-11-10 bbetween 20:00 and 21:00 will not be able to book. Your Custom Availability in the Product page is for your basic/standard working hours. Your Custom Availability in your Profile page is for exceptions to your basic/standard working hours. Important, in the image, also ADD a time slot!!!, with Available = Yes for a Monday between 08:00-09:00.

4. You can sync your Calendar in WordPress Admin Dashboard with your Google Calendar. You can chose One-way Sync or Two-way- One-way is rcomended because it is easy to make a mistake in Google Calendar. Make a page /c and add your Calendar (
4. You can see your appointments by going to Appointments > Calendar. You can also see your appointmnets Appointments > All Appointments. Please, remember all times are in UTC+0. If you want to see in your time zone, there are a couple of things you can do.

Unpaid: Appointment requires payment. Order hasn’t been paid for.
In-cart: Appointment is in cart. Order hasn’t been paid for.
Pending: Appointment waiting for confirmation.
Confirmed: Appointment is confirmed. Still requires payment.
Paid: Appointment has been paid. Order is not complete yet.
Cancelled: Appointment has been canceled.
Complete: Appointment has been paid. Order is also complete.
